Privacy policy

Intricate Events is operated by Intricate Group Inc. ("Intricate", "we", "us"). This policy explains what we collect when you use this platform, why we collect it, where it is stored, and what you can do about it.

It is written to be read, not to be survived. If anything here is unclear, contact us and we will explain it.

Who to contact

Questions about this policy, or a request to see, correct or delete your information, go through the contact form on this site. We respond within thirty days.

What we collect

When you create an account

Your first and last name
Your work email address
Your company
Your phone number, only if you choose to give it
How you heard about us, including the name of any Intricate employee you mention
The marketing campaign or link that brought you here, if there was one
The date, time and IP address at which you gave or declined marketing consent

When you use the platform

Which sessions you register for, and whether you cancel
Whether you attended a session live, when you joined, and how many minutes you watched
Which recordings you watch, how far through you get, and how many times you return to one
Questions you submit, and the reactions you send during a session
Feedback you leave after a session
Your sign-in history, and the IP address and browser you signed in from
Whether emails we send you are delivered, bounce, or are marked as spam

We do not use advertising cookies, third-party analytics, tracking pixels or social media trackers. The only cookies this site sets are the one that keeps you signed in and the one that protects forms from cross-site request forgery. Neither is used to follow you anywhere else.

What we do with it

To operate the platform. Signing you in, registering you for sessions, sending you calendar invitations and reminders, and letting you watch.
To decide who gets access. See the next section.
To understand what is useful. Which topics draw an audience, which parts of a session lose people, and which questions keep coming up. This directly determines what we present next.
To follow up with you commercially. We can see which sessions you watched and for how long, and which questions you asked. We use that to decide whether and when someone from Intricate contacts you about our services. We are telling you this plainly because you should know it before you register, not discover it afterwards.
To send you email about upcoming sessions, but only if you ticked the consent box. You can withdraw that at any time in your account settings, and it does not affect your access.

We do not sell your information. We do not share it with advertisers. We do not trade it with other companies.

Accounts are approved by a person

Every new account is reviewed by an Intricate employee before it is activated. We do this because our sessions cover our commercial approach and our clients' operational context, and we choose who sees that.

We may decline an account, and we are not obliged to tell you why. If your account is not approved you will see a page saying it is under review. You can contact us and we will speak to you.

We never reject an account automatically. A person makes every decision.

Where your information is stored

Your information is stored in the United States and is subject to United States law. That means it can, in principle, be accessed by United States courts, law enforcement and regulators under the laws of that country, regardless of where you are.

We use these providers:

We have chosen providers that commit contractually to protecting the information we give them, and we give each of them only what they need. We remain responsible for your information while it is with them.

If you are not comfortable with your information being stored outside Canada, do not create an account. There is no way to use this platform without it.

Sessions are recorded

Live sessions are recorded so they can be watched later.

You are never in the recording. This platform has no attendee camera, no attendee microphone and no shared meeting room. A recording contains the presenter's voice and the presenter's screen, and nothing else. No other attendee can see that you are watching, see your name, or know that you are there at all.

Questions are typed, not spoken. If a presenter answers your question aloud, they may read or paraphrase it, but they do not identify who asked it. Internally we know which question came from whom, because that is how we follow up. No other attendee ever does.

While you are watching, your name and email appear faintly over the video. This is deliberate. It discourages casual sharing of a recording and means any leaked copy can be traced. It is visible only to you.

Email

We send two kinds of email.

Transactional, meaning your sign-in link, registration confirmations, calendar invitations, reminders for sessions you registered for, and notice that a recording is ready. These respond to something you did. You control reminders in your account settings. You cannot turn off your sign-in link, because it is how you get in.

Optional, meaning news about upcoming sessions, which you only get if you asked for it. Every one of those carries a link to turn it off.

Under Canada's anti-spam legislation we keep a record of when and how you gave consent, including the IP address and the wording you agreed to. We keep that record even after you withdraw consent, because it is the evidence that we had it.

How long we keep it

While your account is open and in use, we keep everything described above.
Twenty-four months after your last activity, we remove your name, email address and phone number and keep only your company and aggregate figures. A contact who has not used the platform in two years is no longer information we need.
If you delete your account, we immediately cancel your registrations and revoke your sessions, and we remove your name, email address and phone number ninety days later.
Consent records are kept for as long as we may need to demonstrate we complied with the law.
Aggregate figures, meaning counts and totals that identify no one, are kept indefinitely.

Your rights

Under the Personal Information Protection and Electronic Documents Act and Alberta's Personal Information Protection Act, you can:

See what we hold about you. Ask and we will provide it.
Correct it if it is wrong.
Withdraw marketing consent at any time, in your account settings, without affecting your access.
Turn off reminders at any time, in your account settings.
Delete your account yourself, at any time, from your account settings. We do not make you ask.
Complain, to us first, and to the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner of Alberta if we do not resolve it.

Security

Your connection is encrypted. There are no passwords on this platform, so there are none to steal. Video cannot be played without a signed token that expires after fifteen minutes and works only on this site. Access to your information inside Intricate is limited to the people who need it. Every administrative action on your account is logged with the name of the person who took it.

No system is perfect. If a breach occurs that creates a real risk of significant harm to you, we will tell you and we will report it, as the law requires.

Anyone under eighteen

This platform is for people doing a job. It is not directed at anyone under eighteen and we do not knowingly collect their information.

Changes

We will update this policy when the platform changes. The date at the top tells you when. If a change materially affects how we use your information, we will tell you before it takes effect.
